Administative Assistant (Data and Communications)


Overview:

We are seeking a meticulous and technically proficient individual to join our team as an Administrative Assistant, specializing in data, for the Biddeford, Saco and Dayton School Departments. This role involves transforming information into accurate reflections of data requirements to meet specific departmental and educational objectives and other business needs.

Responsibilities:

  1. Data Analysis and Interface Design: Responsible for analyzing data, designing interfaces, and testing modifications to data structures to enhance the quality of administrative and educational information systems.
  2. Technical Support: Utilize established data methodologies to provide technical support for the Superintendent of Schools and various educational and business processes.
  3. Reporting Processes: Organize, implement, design, and evaluate reporting processes to ensure users receive accurate and timely information.
  4. Communication Skills: Translate reporting requests to accurately meet the data needs of users with varying familiarity with database systems, demonstrating exceptional communication skills.
  5. Data Presentation: Present data in a meaningful way for staff and citizens using integrated system reports, advanced web pages/forms, charts, graphs, etc.
  6. Documentation: Write and maintain comprehensive documentation describing program development, logic, coding, testing, changes, corrections, data entry processes, and standards.
  7. Adherence to Standards: Ensure the creation, maintenance, and adherence to documentation for data entry processes and standards, assisting users in understanding and following these processes.
  8. Report Preparation: Assist in the preparations of state, federal, and local reports assigned with regards to data accurately and in a timely manner.
  9. System Management: Manage and seek enduring methods for connecting staff to student information systems, including Infinite Campus and PowerSchool.
  10. Data Assessment and Reporting: Create and sustain systems to streamline and support student data assessment and reporting, including standards-based reporting, Response to Intervention and state testing.
  11. Training: Assist in training opportunities for staff in using data within their positional responsibilities.

Other Duties:
Support the Director of Community Outreach and the Director of Communications during times of events. Perform other job-related duties as assigned by the Superintendent.

Qualifications:

  • Bachelor’s degree preferred.
  • Proficiency in data analysis, database management, and reporting tools.
  • Strong communication and interpersonal skills.
  • Experience in educational information systems is preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
