The Westbrook School Department is hiring a Payroll Generalist for the district Finance Office. The Payroll Generalist supports the Payroll Specialist and other staff to ensure accurate payroll processing, maintenance of employee records, and timely payments to payroll vendors. Key responsibilities include:
* Process daily payroll tasks, including reviewing and entering time and attendance forms, and filing related documentation promptly.
* Ensure accurate and timely processing of all payroll transactions.
* Prepare, reconcile, and submit payroll reports on a bi-weekly, monthly, quarterly, and annual basis.
* Collaborate with Human Resources to update and maintain employee records (e.g., new hires, terminations, benefit elections, pay changes, and general ledger allocations).
* Communicate professionally and respectfully with employees regarding payroll matters.
* Assist in audit preparation and documentation as required.
* Collaborate with Human Resources to manage the payroll aspect of workers’ compensation claims.
* Prepare and process vendor benefit payments and withholding tax remittances.
* Maintain and update personnel databases to reflect changes and updates.
* Investigate and resolve payroll discrepancies, processing corrections as needed.
* Serve as a backup to the Payroll Specialist during absences to ensure uninterrupted payroll operations.
* Perform other duties as assigned by the Director of Finance.
Knowledge, Skills, and Abilities
* Solid understanding of payroll practices and procedures.
* Strong knowledge of federal and state payroll regulations.
* Proficient in Microsoft Excel/Word and Google Sheets/Docs
* Experience with Frontline and Tyler Technologies School ERP Pro (preferred, not required).
* Ability to manage sensitive and confidential information with discretion.
* Excellent interpersonal and communication skills.
* Ability to interpret and apply payroll laws and procedures effectively.
* High attention to detail and strong analytical skills.
* Ability to collaborate meaningfully
Education, Training, and Experience
* Bachelor’s degree in Business or Accounting (preferred but not required).
* Minimum of 5 years of payroll processing experience (desired but not required).
* Equivalent combinations of education, training, and experience that demonstrate the ability to perform the duties of this position will be considered.
