JOB DESCRIPTION

ADMINISTRATION ASSISTANT TO CENTRAL OFFICE

 

DEPARTMENT:         Central Office

REPORTS TO:          Special Education Director

STATUS:                 Non-Exempt, Full-time Non-Union

 

JOB FUNCTION:

The successful candidate will provide complex and confidential executive secretarial support to the Superintendent, the Director of Special Education, and the Business Office. 

 QUALIFICATIONS:

  1. Associate degree preferred
  2. Experience in a school setting preferred
  3. Strong ability in keyboarding, bookkeeping, filing, office machines, student information systems, telephone communication, written correspondence, and computer skills
  4. Knowledgeable in Microsoft applications, Infinite Campus, Electronic File Management (EMDS preferred) and Profund
  5. Ability to work independently without direct supervision
  6. Excellent computer, organizational, and time management skills and the ability to meet deadlines
  7. Ability to maintain a high degree of confidentiality
  8. Exceptional customer service
  9. Ability to sit or stand for long periods of time.
  10. Ability to lift 25lbs or more
  11. Current State of Maine Criminal History Records Check Certification (CHRC)

   SPECIFIC SKILLS:

  1. High school diploma or equivalent required. Associate’s degree preferred. Prior work experience will also be considered
  2. Training and successful experience in office practices, methods, and procedures; strong command of word processing, Microsoft Office Suite, and Google Suite; exceptional organizational skills; high attention to detail, and skilled operation of office equipment
  3. Understand basic bookkeeping and new hire process
  4. Typing, grammar usage, and spelling knowledge equivalent to an experienced executive secretary or administrative assistant
  5. Proficiency in performing complex word-processing tasks and in creating, maintaining, and efficiently accessing word documents, spreadsheets, and databases
  6. Proficiency in managing payments to institutions/businesses that participate in third-party billing; working with venders; assisting in budget preparation
  7. Demonstrated ability to communicate effectively and professionally with administrators, staff, and the general public
  8. Demonstrated ability to maintain absolute confidentiality
  9. Demonstrated ability to produce high quality work consistently and under time constraints.
  10. Special Education and Title experience is preferred but will train
  11. Must be able to manage a busy office with professionalism and efficiency. This position is in person – remote work is not available

 RESPONSIBILITIES:

  1. Schedule Special Education IEP meetings
  2. Enter in bi-weekly accounts payable
  3. Coordinate the preparation and updating of district forms
  4. Coordinate Services & Providers
  5. Maintain electronic calendar, including scheduling meetings
  6. Update school website with necessary announcements & documentation
  7. Maintain and organize special education student files & update Student Information Systems
  8. Manage, prepare, and submit financial documents
  9. Prepare State of Maine reports regarding students and staff
  10. Any other duties as assigned by the Central Office Administrative Team

TERMS OF EMPLOYMENT: 

Work year to be established by the Milford School Board as per negotiated contractual agreement, and the laws and regulations of state/federal government.

EVALUATION: 

Evaluation will be conducted annually by the Business Manager
