High School Secretary: Attendance and Student Activities

Boothbay Region High School (BRHS) is seeking a highly organized and dedicated High School Secretary: Attendance and Student Activities to join our team. If you're a proactive problem-solver with excellent communication skills and a knack for keeping things running smoothly, we encourage you to apply!

In this vital role, you'll be instrumental in ensuring the efficient operation of the school office, supporting student attendance procedures, and coordinating a variety of student activities and extracurricular programs. You'll work closely with the Building Principal and Dean of Students/Athletic Director, contributing to a positive and productive school environment for our students, staff, and community.

What You'll Do:

As our High School Secretary, your responsibilities will include:

  • Office Administration & Support:Perform a variety of clerical and receptionist duties, including preparing letters, reports, and notices. You'll also provide confidential administrative and secretarial support to the Principal and Dean of Students/Athletic Director, utilizing word processing, PowerSchool database, and spreadsheet applications, and producing professional desktop-published documents.
  • Time Management & Coordination:Help maintain effective time management practices for the Dean of Students/Athletic Director by coordinating appointments, prioritizing correspondence, scheduling transportation, and managing sports rosters.
  • Attendance & Records Management:Accurately maintain student attendance records and reports with the state.
  • Logistics & Scheduling:Coordinate with the Student Nutrition team for breakfast and lunch orders, schedule and maintain records for substitute teachers, and keep student and staff schedules up-to-date.
  • Communication & Public Relations:Monitor and screen incoming calls and correspondence, direct inquiries to appropriate departments, greet visitors, and provide information to students, staff, parents, and the community.
  • Confidentiality:Uphold the highest level of confidentiality in all aspects of your work.

What We're Looking For:

  • Education:High School Diploma is required.
  • Experience:Successful secretarial experience, particularly in a confidential setting.
  • Skills:
    • Proficient use of technology, including word processing, database, and spreadsheet applications.
    • Exceptional communication and interpersonal skills.
    • Strong organizational abilities and attention to detail.
    • Ability to manage multiple tasks and prioritize effectively.
    • A proactive and collaborative approach to teamwork.

This is a 10-month position with salary and benefits established by the Collective Bargaining Agreement. Your performance will be evaluated annually by the building principal.

 

Date Position Available:    2025/2026 School Year (application Deadline July 8, 2025)

Qualifications:  current CHRC Authorization through the State of Maine Department of Education.

The successful candidate will have the ability to work positively and collaboratively with administration, staff, students, and parents; possess strong oral and written communication skills; and have strong organizational and interpersonal skills; and is dedicated to meeting the academic and social needs of our students. Experience working with students with a variety of special needs is essential.
